Allocation Work Order

Once an Allocation Estimate has been created and Locked you can create and send Work Orders to your subcontractors



Click the 'Assign to Work Order' button at the top of the Allocation Estimate.



Use the Assign To dropdown to search your contacts and select the subcontractor/supplier you want to issue the Work Order to. Then click the Assign button.
 



Enter Start and Completion dates and Times as required (you can enter these at a later date or update when needed as well). Add any notes for the subcontractor in the Notes field, these can pull onto the Form you will generate.


To the right of the screen you will see your Sell and Cost, the Cost is how much you are issuing the Work Order to the trade, it will then also show the Profit Margin you are making on the Work Order.



Scroll to the bottom of the screen to see the line items in the Work Order. The Allocation Work Order will pull all items from the allocation into the Work Order.

Click into the line item to adjust the Description

 

Click the rate you want to give the subcontractor. The field will go yellow where you make a change.


Use the X on the right hand side of the line item to remove it from the Work Order.

 

Once you have made the change, scroll back to the top of the screen and you will see the Cost has adjusted and in turn adjusting the Profit Margin for the work order.




Click the Lock button at the top of the Work Order page. You need to Lock the work order before you can generate the PDF to send.

Select to Lock, Lock and Generate PDF or Lock, Generate and Send Email. If your company is using Sync Request functionality you will see this instead of Send Email.



If you choose to 'Lock' only you will now need to generate the PDF. Click 'Create PDF' highlighted in green at the top of the work order on the right hand side.


You will be taken into the Forms section of the job and the form template default for Work Orders will be selected for you.


Scroll down the screen to see the work order being pulled into the form template. Use the Edit Work Order button in the left hand corner above the work order detail to choose what information you want to show or hide.


 



Scroll back to the top of the screen to Save & Preview the PDF. This will give you a pop up to check what the PDF will look like once generated.



Once you have closed the pop up preview, select 'Generate', this will create the PDF of the work order.



The screen will refresh and take you back to the Work Order. Click the New Email



The email form will open from the right hand side of the screen and will pre attach the PDF of the work order you have generated, if you have a default email template set it will select this for you and if the contact assigned on the work order has an email address saved in their contact it will prepopulate in the To field as well.




Once you have sent the email you can use the 'Go to Allocation' button at the top of the work order screen to go back to the Allocation.


Once you have returned to the Allocation screen you will see the Work Order you have created under the Work Order heading on the right hand side.
